Public duties, trade union rights and special leave

Introduction

This policy applies to all Employees and workers according to the relevant statutory or contractual right.

Jury service, court and public duties

Notify PGS promptly and provide summons or official evidence. Time off for jury service and qualifying public duties is administered under statutory rules. Pay is not automatic unless contract or decision provides it; available court allowances should be claimed and disclosed where required.

Trade union membership and representation

PGS respects lawful trade union membership, representation and collective rights. No unlawful detriment applies to protected activity. Recognised representatives receive reasonable paid time off for qualifying duties/training under law and the Acas Code.

From 30 October 2026, PGS will implement the duty to inform workers of the right to join a union and new access, facilities and representative protections from commencement, subject to final regulations/codes.

Reservists and civic roles

Requests relating to Armed Forces reserve mobilisation, cadet-force training, magistrate duties, special constable or emergency-service volunteering are considered under current law, contract and leave catalogue. Paid support is discretionary unless a right or written term provides it.

Other special leave

PGS may approve study, exam, CPD, volunteering, religious observance, moving house, domestic-abuse support, fertility, surrogacy, gender-transition, critical incident, adverse weather or other special leave. A portal “paid” selection does not guarantee payment until confirmed.

Evidence and fairness

Only proportionate evidence is requested. Decisions are consistent, non-discriminatory and recorded. A discretionary decision in one case does not create a universal entitlement.
