Privacy, confidentiality, intellectual property, company property and records

Introduction

This policy applies to all staff and anhyone with access to PGS, agency, hirer, employee, worker or client information.

Personal data and notices

PGS processes personal data on a lawful basis for employment, payroll, legal, security, welfare and business purposes and provides relevant privacy information. Special-category, criminal-offence, bank, identity and safeguarding data receive additional controls. Statutory data rights apply subject to lawful exemptions.

Worker responsibilities

Access only information needed for the role; keep records accurate; use approved storage/sharing; follow retention; and report misdirected email, lost device, unauthorised access, rights request or suspected breach immediately. Do not use personal email or unapproved cloud storage.

Confidentiality

Confidential commercial, payroll, pricing, client, supplier, worker, employee, strategic, legal, technical, safeguarding and security information may be used only for authorised work or another lawful purpose. The duty continues after employment and does not prevent lawful whistleblowing, reporting crime, regulator cooperation or professional advice.

Intellectual property

IP created in the course of employment, duties or company resources belongs to the employer to the extent provided by law and contract. The employee must maintain records and sign reasonable documents to protect it.

Property, searches and return

Devices, keys, cards, documents, software, files and credentials remain the owner’s property and must be secured and returned on request, role change, suspension or termination. Proportionate searches of company property or work areas may occur for legitimate concerns. A personal search requires consent or another lawful basis, dignity and safeguards.
