Portal governance, policy review and no separate acknowledgement

Introduction

This policy applies to all person to whom the handbook is issued or made available.

Online booklet and contractual incorporation

The current approved handbook is maintained as an online booklet in each individual portal and forms the second part of the employment contract signed by the employee. A separate receipt, acceptance, signature or acknowledgement is not required.

Access, questions and interrogation

Each login provides access to the current version to view, search, retain, question and interrogate. Questions or inconsistencies may be raised through the portal. Access/version records may be retained for audit, but access is not consent to a contractual variation where law requires agreement.

Controlled versions and updates

The portal records version, publication/effective date, owner and prior editions. Material updates are communicated by durable notice. A statutory change may apply automatically; a material contractual change follows consultation/agreement.

Policy repository

The public repository contains supporting policies. This handbook remains the consolidated worker-facing source. A portal policy does not silently remove a right or vary a signed term.

Review timetable

Legal, HR, payroll, pensions and operations review the handbook when law, guidance, systems or models change and at least annually. Scheduled reviews follow the Employment Rights Act timetable, including 25 August, 1 October and 30 October 2026 and 1 January 2027.

Alternative formats and advice

PGS provides an accessible format or reasonable adjustment where required. This is operational guidance and contractual policy, not personal legal, tax, pension or medical advice. Individuals may obtain independent advice and contact Acas, FWA, HMRC, HSE, a regulator or other lawful body.
