IT, communications, social media, artificial intelligence, monitoring and BYOD

Introduction

This policy applies all authorise users of PGS, agency or client systems and information.

Security and credentials

Use only authorised accounts, devices, software, networks and access. Passwords and authentication factors are personal. Lock unattended devices, report loss or compromise and follow multi-factor, encryption, VPN and mobile-device requirements.

Email, messaging and internet

Business communications must be professional and accurate. Verify recipients and attachments before sending sensitive data. Do not access or distribute unlawful, pornographic, discriminatory, offensive, malicious, defamatory, copyright-infringing or confidential material without authority. Limited personal use may be permitted if lawful, brief, secure and non-disruptive.

Monitoring

PGS, the agency or client may monitor systems, communications, access, security and usage where lawful, necessary, proportionate and transparently notified. Monitoring is not unlimited private surveillance. Personal data obtained is restricted and used for legitimate purposes.

Social media and external statements

No individual may speak to media, publish a PGS statement, use a PGS brand or bind PGS without authority. Personal use must not disclose confidential information, harass, misrepresent PGS or create an avoidable conflict. A disclaimer does not excuse misconduct.

AI and automation

Only approved AI or automation tools may be used for an approved purpose. Do not enter personal, payroll, client, credential, legal, source-code, safeguarding or other confidential data into an unapproved service. A human remains responsible for accuracy, bias, professional judgment, privacy and IP.

BYOD

BYOD access requires approval and may require encryption, supported software, separation of work data, mobile-device management and remote wipe of company data. The user must return or securely delete company information when authority ends.
