Flexible working, occupational health, reasonable adjustments and menopause

Introduction

This policy applies to all Employees for statutory flexible working; adjustment duties apply more broadly to disabled workers.

Statutory requests

Every employee has the right to request flexible working from day one. Up to two statutory requests may be made in 12 months with only one live request at a time. The written request states the change to hours, times or place, proposed start date and prior statutory requests.

Consultation and decision

Unless accepted in full, PGS consults before deciding. The request, consultation, decision and appeal normally complete within two months unless extended by agreement. Refusal must rely on a genuine statutory business reason and be explained. An appeal is offered as good practice.

Temporary arrangements and adjustments

A temporary change can be agreed without permanently varying the contract. A disability-related request engages the separate reasonable-adjustment duty and is not determined solely by flexible-working business grounds. Adjustments may include equipment, duties, hours, breaks, location, communication, supervision or phased return.

Occupational health

PGS may obtain occupational-health or medical advice where relevant and lawful, with consent and privacy information. The individual should explain workplace effect and support needed without disclosing more clinical detail than reasonably necessary.

Menopause support

PGS supports people affected by perimenopause or menopause, including trans and non-binary people. Managers should consider temperature, uniform, water/rest facilities, breaks, flexible working or temporary changes. Information is confidential and reviewed with the individual.
